Addisons is seeking a Personal Assistant to join our busy Environment and Planning team. This exciting hands-on role will allow you to work closely with a Senior Personal Assistant in a job share arrangement, and a team of passionate lawyers who specialise in advising private and public sector clients on planning and environment issues including all types of litigation in the Land and Environment Court of NSW.

This position presents a challenge and calls for an individual who thrives in a fast-paced and collaborative environment. We are looking for an individual who is proactive, efficient, and can juggle multiple tasks effortlessly while upholding confidentiality and professionalism. This is an opportunity to get fully involved in intricate matters, from preparing court documents to compiling briefs for counsel and experts.

We seek a candidate who is dedicated to their personal growth and development, takes ownership of their responsibilities, and aims to become a valuable member of our dynamic team. The preference is that you are available to work four days per week, however, we are flexible if you can commit to a minimum of three days per week. You must be available every Thursday and Friday, with the flexibility to choose a third or fourth day that suits your preference.

Duties and Responsibilities:

  • Diary management – scheduling appointments, meetings, and conferences, arranging travel plans, appointments, reservations, etc
  • Answer phone calls and taking messages in a professional and courteous manner
  • Creating, amending, tracking and comparing documents
  • Draft emails, correspondences, records, and spreadsheets
  • Preparing court documents in hard copy (bulk printing)
  • Creating flowcharts, diagrams and presentation material
  • Preparing client bills using Aderant and attending to monthly billing, timesheet entry and production of client invoices
  • Undertaking various administrative tasks such as organising files, making photocopies, initiating and finalising legal matters, and processing expense reimbursements
  • Assist in planning and coordinating events
  • General document management, including accurately managing the archival, retrieval and recording of documents and emails
  • Adhoc tasks as assigned.

To be considered for the role, you will have:

  • A minimum of 2 years’ experience as a legal secretary or in a similar administrative role
  • Operating knowledge of time and billing modules in Aderant Expert or a similar practice management system is desirable
  • Intermediate level proficiency in Microsoft Office Suite (Word, powerpoint, Excel, Outlook, Teams)
  • The ability to handle multiple tasks while maintaining a flexible and proactive approach.
  • Excellent interpersonal skills across all levels
  • Exceptional eye for detail along with the skill to complete work with precision and effectiveness.
  • The ability to work independently and in a team environment
  • Excellent written and verbal communication skills
  • Strong organisational and time management skills to handle multiple tasks and deadlines effectively
