Personal Assistant (Construction)

This role is a permanent full-time position suited for a mature, hands-on and self-motivated individual to be part of an integral fast-paced team. You will primarily be supporting a Senior Partner who heads our construction practice and was recognised this year as the top practitioners in the legal profession in respected legal publication The Best Lawyers in Australia™.

Key responsibilities include:
  • Drafting correspondence, including dictation, document preparation, and amendments including emails and letters
  • Monitoring emails, Managing diary and scheduling meetings and appointments
  • Answer and respond to phone calls and deal with enquiries where appropriate
  • Filing and photocopying
  • Creating flowcharts, diagrams and presentation material
  • Diary management – arranging travel plans, appointments, reservations, etc
  • General administration includes data entry, filing (electronic and hard copy), scanning, photocopying, archiving, expense reimbursement.
  • Preparing and attending too monthly billing, timesheet entry and production of client invoices
  • Dealing with sensitive and confidential matters in an appropriate manner
  • Undertaking property searches and company searches (and similar) using a search provider (such as Dye & Durham, Infotrack etc.)
  • Assisting with property due diligence matters
  • Other ad hoc duties as required.
To be considered for the role, you will have:
  • A minimum of 4 years’ experience or a similar role
  • Strong interpersonal skills and commitment to excellence in client service with an ability to build rapport with busy clients, partners and lawyers
  • Advanced knowledge of the Microsoft suite (Outlook, Word, Excel, PowerPoint and Teams).
  • Intermediate level proficiency in pdfDocs and FileSite/WorkSite
  • Good working knowledge of time and billing modules in Aderant Expert or a similar practice management system
  • Basic working knowledge of operating knowledge of search providers such as Dye & Durham or InfoTrack or keenness to learn
  • Accurate typing skills with an average typing speed of 70+ wpm
  • Outstanding organisational and time management skills
  • The ability to work independently as well as in a team environment
  • Strong written and verbal communication skills
  • High levels of integrity, discretion, and confidentiality
  • A flexible and adaptable style and responsiveness to changes in work demands and circumstances.
  • Knowledge of AML and AML platforms.
