Addisons is looking for a Personal Assistant to join our dynamic Intellectual Property team on a permanent part-time basis. In this role, you will provide essential secretarial and administrative support to a prominent IP expert with a busy practice.
As a Personal Assistant, you will be integral to the operations of the IP practice, engaging in various tasks such as managing trade mark administration, updating the firm’s trade mark database, drafting pro-forma emails, typing letters and agreements, and preparing accounts. This position offers an excellent opportunity to collaborate with esteemed Australian and international brands, allowing you to gain experience across a range of tasks and industries.
Your ability to adapt swiftly, manage multiple responsibilities, and maintain a strong commitment to excellence will be vital for success in this dynamic role. We will offer thorough training to facilitate a smooth transition and help you become a key member of our small, collaborative team.
Ideally, you will be available to work four days a week and demonstrate flexibility during the end-of-month billing period, which occurs in the first three days of the subsequent month.
- Diary management – scheduling appointments, meetings, and conferences, arranging travel plans, appointments, reservations, etc
- Create, edit, and compare documents
- Preparing high volumes of bills using Aderant and attending to monthly billing and production of client invoices
- Loading and managing invoices via ebilling databases
- Providing support in financial and matter management
- Managing files, including opening and closing electronic files
- Undertaking various administrative tasks such as organising files, making photocopies, and processing expense reimbursements
- A minimum of three years of experience as a legal secretary, personal assistant, or in a similar role within a corporate environment
- Advanced knowledge of the MS Office suite, essential in Outlook, Word, Excel and PowerPoint
- Sound knowledge of the monthly billing process in a legal environment – experience with Aderant highly regarded
- Experience using iManage preferred but not essential
- The ability to be agile and efficient in prioritising tasks
- Strong initiative, proactive nature, and problem-solving abilities
- Excellent written and oral communication abilities
- A keen eye for detail, good organisational skills, and the ability to thrive under pressure, particularly during the EOM period
